Summary

An opportunity has arisen to  provide administrative support to the Workshop which will entail ensuring that all procedures are adhered to within the administrative remit. This will involve handling incoming calls, accurate completion of paperwork including post, supporting the depot with meeting organisation, as well as remaining up to date with the hire and sale figures for the depot's equipment.

Main Responsibilities
  • Sorting and distributing incoming post and organising and sending outgoing post
  • Organising and storing paperwork, documents and computer-based information
  • Photocopying and printing various documents
  • Using a variety of software packages to produce correspondence, letters and documents, and maintain presentations, spreadsheets and databases
  • Liaising with members of staff in other departments and external customers/suppliers
  •  Screening telephone calls, enquiries and requests
  • Dealing with incoming emails and faxes
  • Dealing with customer enquiries in a professional manner
  • Responsibility for operation schedule maintenance, where required
  • Answering the telephone and dealing with customers, as required
  • Assisting with the organisation of booking meeting rooms and conference facilities
  • Attending meetings where required, in order to take minutes of meetings
  • Keeping the depot, and in particular the hire desk area, tidy at all times
  • Wearing full uniform and PPE at all times
  • Maintaining knowledge of the group’s equipment for hire/sale and activities
  • Conducting additional ad hoc duties as may be required
  • Following all company procedures and policies in company handbook
  • Ensuring all relevant training has been attended
  • Supporting and communicating effectively with the depot team

  • Organisational and communication skills
  • Team working skills
  • High level of integrity
  • Ability to work effectively under pressure
  • Customer handling and telephone skills
  • Experience in using a variety of software packages, such as Microsoft packages
  • Be focused, show initiative and have a good attention to detail
  • Ability to juggle tasks and prioritise work

Desirable:

  • Full driving licence
  • Good knowledge of Speedy Hire equipment/ products
  • Understanding of depot profit and loss and key depot KPIs
